This Privacy Statement describes how we collect, use, disclose, and safeguard your data when you use Flashnote ("the App"), an iOS application owned by Ultralistic LLC. Flashnote transcribes audio, summarizes transcriptions, provides a large language model (LLM)-powered chat interface, and allows users to create sharable links to their content, optionally protected by a password. By using Flashnote, you consent to the practices outlined below.

1. Information We Collect

We collect the following types of information:

  • Information You Provide:
    • Audio recordings you upload or record in the App for transcription.
    • Text input you submit via the LLM chat feature.
    • Optional passwords you create to secure sharable links.
  • Automatically Collected Information:
    • Metadata associated with audio files (e.g., duration, file size, timestamps).
    • Usage data, such as feature interactions and session duration, collected via PostHog for analytics purposes.
    • Device information, including iOS version, device type, and unique device identifiers, to ensure compatibility and functionality.
    • Authentication data managed by our authentication services (e.g., anonymized user identifiers).
  • Shared Content:
    • Audio, transcriptions, and summaries you choose to share via links, accessible to recipients you provide the link to (and password, if applicable).

We do not collect personal information like your name or email unless you voluntarily provide it (e.g., through support requests).

2. How We Use Your Information

We use your information to:

  • Deliver Flashnote's core functionality: transcribing audio, generating summaries, and enabling LLM chat.
  • Create and secure sharable links, enforcing password protection when chosen.
  • Analyze usage via PostHog to improve App performance and user experience.
  • Process subscriptions and payments through our payment and subscription management services.
  • Authenticate users via our authentication services.
  • Respond to support inquiries or troubleshoot issues.
  • Comply with legal obligations or protect the rights, property, or safety of Ultralistic LLC and our users.

3. How We Share Your Information

We do not sell, trade, or rent your personal information. We may disclose your data as follows:

  • Sharable Links: Content shared via links (audio, transcriptions, summaries) is accessible to anyone with the link and password (if set). You control who receives these links.
  • Third-Party Service Providers: We engage trusted third parties to help operate Flashnote, such as:
    • Cloud storage and database providers to store your data.
    • Payment and subscription management services to process transactions.
    • Authentication providers to manage user logins.
    • Artificial intelligence and transcription services to power App features.
    • Analytics providers (e.g., PostHog) to collect anonymized usage data.
    These providers process data on our behalf under strict confidentiality agreements.
  • Legal Compliance: We may disclose data if required by law (e.g., subpoenas) or to protect our rights, safety, or property.

4. Data Storage and Security

  • Your data is stored securely with our cloud service providers, protected by industry-standard encryption.
  • Sharable link content remains available until you delete it or your account is terminated.
  • We implement reasonable technical and organizational measures to safeguard your data, but no system is fully immune to breaches. You use Flashnote at your own risk.

5. Data Retention

  • We retain your data (audio, transcriptions, summaries, chat history, etc.) only while your account is active.
  • If you delete your account, all associated data is immediately deleted from our systems and those of our service providers, except where retention is required by law.

6. Third-Party Services

Flashnote relies on various third-party providers to deliver its features. These providers operate under their own privacy policies, which we encourage you to review if provided upon request. We ensure these partners adhere to appropriate data protection standards, but we are not responsible for their practices.

7. Your Choices and Rights

  • Content Management: You can delete audio, transcriptions, or summaries at any time, revoking associated sharable links.
  • Account Deletion: Deleting your account triggers immediate data removal (see Section 5).
  • Password Security: You are responsible for safeguarding passwords for sharable links.
  • Opt-Out: You may refrain from using features requiring data input (e.g., audio uploads).

8. Children's Privacy

Flashnote is not designed for users under 13. We do not knowingly collect data from children under 13. If we discover such data, we will delete it promptly.

9. International Data Transfers

Your data may be transferred to and processed in the United States or other countries where our service providers operate. We ensure appropriate safeguards are in place for such transfers.

10. Changes to This Privacy Statement

We may update this statement periodically. Changes will be posted in the App with an updated "Last Updated" date. Continued use of Flashnote after changes indicates your acceptance.
